The Challenge

Most Boards Can Say What They Decided

A board awards a roof contract in March. Eighteen months later an owner asks how that decision was reached. Answering takes four things at once: the packet the board actually read, the motion as it was worded, the roll of who voted which way, and what the vote authorized. Email, a shared drive and a binder can usually produce one of the four.

The calendar has the same gap. Milestone inspection, structural integrity reserve study, the annual meeting notice at the interval the statute sets, insurance renewal, elevator certification. Each of those is a date with a document behind it. When the dates live in one director's personal calendar, the record leaves when that director's term does — and an action item raised in one meeting is rediscovered two meetings later by the person it was assigned to.

None of this is a question of volunteers trying harder. It is a question of where the record lives. A board whose evidence stays attached to the decision it belongs to can answer an owner, an auditor or a lawyer out of the same place, without reconstructing anything first.

One Record, From Agenda to Assignment

Every governance function writes to the same association record. A vote is not a message about a decision that lives somewhere else; it is the decision, with the packet it was taken on still attached to it.

Meeting Management

Agenda builder, board packet, minutes, and the assignments a meeting creates. Each assignment carries an owner and a due date, and it keeps appearing on the agenda until it closes. Nobody has to remember what was decided in March.

Compliance Tracking

Milestone inspections, reserve studies, insurance certificates, safety inspections and unit-level requirements. Each obligation is dated, assigned to a person, and closes only when the document proving it was met is attached to it.

Motions and Votes

A motion is recorded as it was worded, with the packet it was voted on, the roll of who voted which way, and any abstention alongside the conflict that was disclosed. The record you produce a year later is the record the board voted on.

Its president is the person who went on to build this software, and the board portal was written to answer the questions that came up in that building's own meetings.

That matters mostly because it changes what gets built. A deadline does not just raise a reminder; it names the director who owns it and stays open until the evidence is filed, because the version that only sent reminders was tried first and did not work.
